Ep. 5 One Meeting, One Magic Wand – Stay on Track
Hey boardroom champions! It’s your friendly neighbourhood unicorn, BoardSpace Bill, here with another magical tip to help you get stuff done—without trying to do all the stuff at once.
Let me start with a little truth bomb:
You can’t fix everything in one meeting.
Believe me, I’ve tried. The glitter got everywhere.
The Myth of the Mega-Meeting
Sometimes boards get into a rut of trying to cram every possible topic into every meeting:
-
Approve minutes
-
Review budget
-
Plan the gala
-
Rewrite policies
-
Choose new logo colours
-
Debate Gary’s landscaping proposal for the fourth time
Suddenly, a 90-minute meeting turns into a 3-hour stamina test… and nothing actually gets decided. That’s not a meeting. That’s a marathon of mayhem.
Bill’s 5 Ways to Keep It Focused
1. Pick Your Top 2–3 Priorities
What really needs attention today? What will move the board’s mission forward? Start there. Everything else goes on the Parking Lot (more on that in Episode 9).
2. Build a Smart Agenda
Group related items. Flag decisions. Timebox discussions.
BoardSpace lets you build smart, clean agendas that guide—not confuse. No more “Wait, are we on item 7 or 12?”
3. Respect the Clock
Ever heard someone say “This will just take 5 minutes”—and 30 minutes later you're still talking about it?
Time limits are magical. Assign one. Stick to it. Bill believes in firm but friendly nudges.
4. Resist the Rabbit Holes
You know those off-topic dives?
“This reminds me of something that happened in 2014…”
Redirect with grace:
“Great point! Let’s park that and come back if we have time.”
That’s Chairing like a champ.
5. Finish What You Start
Wrap discussions with a summary or clear next step.
“Are we making a decision? Assigning someone to follow up? Or tabling this for later?”
No loose ends. No action items left in the dust.
Bonus Unicorn Magic
BoardSpace makes staying on track so much easier. You can:
-
Tag agenda items as Discussion, Decision, or Info
-
Set estimated times for each item
-
Track how long things actually take
And when you need to roll items forward to the next meeting? Click, swoosh, done.
Final Thought from Bill
A focused meeting is a kind meeting. It respects people’s time, energy, and attention span. Even unicorns fade after 90 minutes.
You don’t need to solve every problem today.
You just need to make good progress on a few important ones—with clarity, kindness, and maybe a cookie.

Episode 6: Be Kind – Unicorns Have Feelings Too
A gentle reminder that governance works best when people feel heard and respected.
Until then, stay on track, trim the agenda, and don’t try to do everything in one sitting.
